Terms and Conditions
Cancellation policy for booked sessions:
We have a strict 12-hour cancellation policy. Cancellations made within 12 hours of a session will result in the credit being forfeited. Cancellations are to be made by the member in the booking portion of the app. The studio staff is not responsible for booking. Unlimited members: A $15 late cancellation fee will be charged to the card on file. Because our sessions are intentionally kept small (max 6 members), timely cancellations ensure that other barbellas have the opportunity to book a spot and that our coaches can properly prepare each session.
Rescheduling a session:
Rescheduling a session must occur outside of the 12 hour cancellation window. If it is made within the 12 hour cancellation window, this will count as a late cancellation and the same rules apply.
No-Show Policy:
If you do not cancel your class through the booking section of the app and do not show up, it will result in the loss of your credit and a $15 fee
Unlimited members: No-shows result in a $20 fee. Because our sessions are intentionally kept small (max 6 members), showing up or canceling on time ensures that other barbellas have the opportunity to book a spot and that our coaches can deliver a prepared and effective session for everyone.
Arrival Time / Late Policy
Doors open 10 minutes before class so coaches can prepare the studio. Members are expected to arrive at least 5 minutes early.
Grace Perod:
We allow a strict 5-minute window. For example, if class starts at 5:30 PM, you may enter until 5:35 PM.
Arriving after 5 minutes:
Doors will be locked, and you will not be able to attend the session. This will count as a no-show, and all corresponding policies (credit loss/fees) apply. This is for safety reasons and to minimize distractions out of courtesy to the other members. If you’re unsure whether you’ll arrive on time, late-cancel through the booking section of the app to avoid no-show fees.
Billing
Memberships bill automatically every 28 days. We accept credit or debit cards only. Members with unpaid balances or insufficient funds cannot attend sessions until resolved. No refunds are provided for memberships, session credits, or intro offers.
Children & Guests
For safety and liability reasons, guests and children are not permitted in the studio or lobby. Members must make alternative childcare arrangements.
Cell Phone Policy
Phones must remain with personal belongings during class. Photos are welcome before or after sessions.
Photo & Video Consent
The studio may occasionally capture photos or videos for marketing, social media, or educational purposes. Any member who does not wish to appear in photos or videos must notify the studio in writing via the app messaging portal or email. The studio will always respect member preferences, and no member will ever be filmed or photographed without consent.
Rollovers
Credits do not roll over between billing cycles unless the studio is closed on a day, we would normally be open. All credits must be used before your next billing cycle begins. While we understand that life happens outside the studio, this policy remains firm—even in cases of illness or other personal circumstances. If the studio is closed for a holiday, we will honor a rollover of one credit per day the studio has an adjusted schedule into the next billing cycle. These rollover credits will be added to your account as single-session drop-ins. They do not expire but must be used while your membership is active. Rollover credits are not automatically added. To receive them, you must notify the studio through the messaging portal in the app or by emailing stellabarbellas@gmail.com at the end of the billing cycle in which the adjusted schedule occurred. You have up to two weeks after that billing cycle renews to request these credits; otherwise, they will be forfeited.
Membership Freeze
We understand that travel, schedule changes, illness, and life events can temporarily affect your ability to attend. Our freeze option allows you to pause your membership without cancelling, keeping your current rate, benefits, and spot at the studio. Please note: a freeze is not a substitute for membership cancellation. All active members on a 4 pack, 8 pack, 12 pack, or unlimited membership, may request a freeze for any reason — including travel, personal matters, schedule conflicts, or illness. Standard freezes require no documentation, but members must follow the notice and assessment requirements below.
Medical freezes:
Available immediately with a current-dated doctor’s note specifying the reason for the freeze. The doctor’s note must clearly indicate the member is unable to participate in studio activities for a specified period. Members requesting a medical freeze must complete and sign the freeze/medical assessment form. The freeze is effective only once the assessment is signed and submitted. Medical freezes may extend beyond standard duration limits if supported by the doctor’s note, but all other notice and resume-date rules still apply.
Freeze Notice & Notification Requirement
To request a freeze, members must notify the studio in writing via the app messaging portal or email at least 2 weeks before their billing cycle renews (except for immediate medical freezes with documentation). Once the studio receives the written notification, we will send the freeze form (assessment) to the member through the app. The freeze will only be granted once the assessment is completed and signed by the member. If the assessment is not signed before the 2-week notice period, the freeze will not be granted. Members should plan accordingly, as the studio may require up to 24 hours to respond to freeze requests.
Resume Date Requirement
A resume date is REQUIRED for all freezes. We cannot process a freeze without it. Your membership will automatically reactivate on the resume date you provide.
Changing a Resume Date During a Freeze
Members may change their resume date one time per freeze, with proper notice. Requests must be submitted in writing via the app or email at least 2 weeks before the current resume date. The total freeze period may not exceed 60 days from the original freeze start date (except for medical freezes supported by documentation).
Freeze Duration
Members may freeze their membership for a minimum of 5 days and a maximum of 60 days per request.
There is no limit to the number of freezes a member may request, as long as all other policy requirements (notice, resume date, signed assessment) are met. Medical freezes may exceed the standard 60-day limit with proper documentation.
Billing & Credits During Freeze
Billing pauses for the duration of the freeze. Any unused credits remain on your account and reactivate when your membership resumes.
No new credits are issued while your membership is frozen.
Acknowledgment & Agreement
All freeze and billing date adjustment requests require completion and signing of the freeze/medical/billing adjustment assessment form.
By signing the assessment, members confirm they understand the notice requirements, resume-date requirement, duration limits, billing/credit handling during the freeze, the 24-hour response window, that a freeze is not a substitute for membership cancellation, and the one-time annual 7-day billing date adjustment rule.
Billing Date Adjustments
Billing dates cannot normally be shifted, but members may request a one-time adjustment per calendar year of up to 7 days, with at least 2 weeks’ notice. Members requesting a billing date adjustment must complete and sign the freeze/billing adjustment assessment form.
The studio may require up to 24 hours to respond to billing date adjustment requests, so members should plan accordingly.
If the assessment is not submitted and signed with the 2-week notice period, the billing date adjustment will not be granted.
All other freeze and billing rules still apply.
Membership Changes & Cancellation Policy
Upgrades
Members may upgrade their membership at any time. All upgrade requests must be submitted through the studio via the messaging portal in the app or email (stellabarbellas@gmail.com). Upgrades must be processed using the studio’s official upgrade form to avoid having two active billing cycles. Upgrades can be applied within 24 hours once the request and upgrade form are submitted and completed.
Downgrades or Cancellations
To downgrade or cancel a membership, members must provide at least 2 weeks’ written notice via the app or email (stellabarbellas@gmail.com) before the next billing date. All downgrade or cancellation requests must be submitted using the studio’s official downgrade/cancellation form. Verbal requests will not be accepted. If notice is provided less than 2 weeks before the billing date, the next billing cycle will still be charged, and the membership will end at the conclusion of that cycle.
App Usage
The studio app is intended for session management only (booking, rescheduling, or canceling individual sessions). No membership changes (upgrades, downgrades, cancellations, or billing adjustments) can be made manually by members through the app. All membership changes must go through studio management via the messaging portal or email.
Credits & Refunds
Credits and session balances can only be used while the membership is active. No refunds are provided under any circumstances.
Member Responsibility & Written Notice
Members are fully responsible for all aspects of their membership, including billing, submitting forms, and providing proper notice. Members are responsible for ensuring that all forms and notices are filled out.
Other Considerations
Studio Etiquette
Each Barbella is expected to be respectful and courteous to fellow members and coaches. This includes: Listening while the coach is speaking.
Keeping studio stations tidy and organized. Treating others the way you would like to be treated.Wearing clothing free of offensive language, political statements, or imagery related to profanity, abortion, or other sensitive topics. If a member wears clothing that violates this guideline, they will be asked to change or leave the studio to avoid disrupting others. If this occurs more than once, the no-show fee will be applied.
Illness / Contagious Symptoms
For the safety and well-being of all members and staff, anyone experiencing symptoms such as fever, vomiting, diarrhea, active respiratory symptoms, or any contagious condition should not attend sessions. The studio reserves the right to ask a member to leave if they appear visibly ill or report symptoms that may pose a risk to others.
Socks & Footwear:
Socks are required for all sessions (they do not need to be grippy). Plain socks are available for $5, and grippy socks are available for $20–$24.
Hygiene & Consideration:
Please wear deodorant and refrain from heavy perfume or cologne out of respect for others. If you need to leave early, please exit before the finale to respect members who are staying for the cooldown.
Weather & Emergency Closure Policy
If the studio must close or delay due to severe weather, power outages, or other emergencies, members will be notified through the app and/or email as soon as possible. Any session canceled by the studio due to weather or emergencies will receive a rollover credit into the next billing cycle, consistent with the studio’s rollover rules.
Instructor Substitutions
The studio reserves the right to substitute coaches when needed. Substitutions may occur due to illness, scheduling conflicts, or emergencies. No refunds, credits, or exceptions will be issued due to a change in instructor, as all coaches are trained to deliver sessions that align with Stella Barbella’s standards and programming.
Safety & Equipment Use
For the safety of all participants, members must follow coach instructions at all times and use all equipment only as directed. If a member cannot safely perform an exercise or is using equipment improperly, the coach may provide modifications or instructions to stop the movement. Members who refuse to follow safety guidance may be asked to modify the workout or leave the session to ensure the well-being of the group.

Physical Limitations / Injuries / Health Conditions
By signing the Stella Barbella waiver form, I acknowledge that I am exercising at my own risk.
I will communicate any relevant health information or physical limitations to my coach to help prevent injuries. Members should be able to perform basic movements safely, including getting up and down off the ground, squatting, and other foundational movements required for class participation. The studio is able to provide small accommodations to support members with minor limitations or injuries. This is not intended to be restrictive or offensive, but rather to ensure each member receives the full support they need. Exceptions: Certain equipment, such as trampolines, may have different movement requirements or limitations. If a member’s limitations are too significant to safely accommodate in a group session, the studio may refer them to a personal trainer for individualized programming, as it may exceed what the coach can safely manage within the group class setting.
Policy Updates
I understand that Stella Barbella’s is a growing business, and policies and procedures may change over time to improve studio operations. I will be notified of any new policies. If I have questions or concerns about any changes, I will address them directly with studio management through the Stella Barbella's app messaging portal or email (stellabarbellas@gmail.com) to ensure mutual understanding.
Waiver and Release of Liability for Stella Barbella’s Pilates and Weightlifting studio
Because physical exercise can be strenuous and subject to risk of serious STELLA BARBELLA’S (GIVE PLANTS A CHANCE LLC) urges you to obtain a physical examination from a doctor before beginning any exercise or training program.
You agree that by participating in these physical exercise sessions and programs, you do so entirely at your own risk. This includes, without limitation, (a) your use of all amenities and equipment in the facility and any off site location and your participation in any activity, class, programming, personal training or instruction, (b) the sudden and unforeseen malfunctioning of any equipment (c) instruction, training, supervision, or dietary recommendations. You agree that you are voluntarily participating in these activities and use of these facilities and premises and assume all risks of injury. You expressly agree to release and discharge Geena Wiedlund from any and all claims or causes of action.
This waiver and release of liability includes, without limitation, all injuries to you which may occur, regardless of negligence. If any portion of this release from liability shall be deemed by a Court of competent jurisdiction to be invalid, then the remainder of this release from liability shall remain in full force and effect and the offending provision or provisions severed here from. You acknowledge that you have carefully read this waiver and release and fully understand that it is a release of liability. You agree to voluntarily give up any right that you may otherwise have to bring a legal action against STELLA BARBELLA’S (GIVE PLANTS A CHANCE HOLISTIC HEALTH COACHING LLC) for negligence, or any other personal injury or property damage or loss action.
